1. Purposes of using your personal information

We use customer personal information for the following purposes:

1. To search for the counterparty in a property transaction.
2. To advertise property information via the internet, flyers, and other media in order to find a counterparty. Property information may be registered in the designated distribution organization’s property search system (REINS) as provided under the Building Lots and Buildings Transaction Business Act. After a contract, contract information (property overview, contract date, sale price, etc. — excluding names) may be provided to the designated distribution organization for its operations.
3. To find the counterparty to a sale or rental contract, and to provide brokerage, sales, rental, and management services under such contracts.
4. Where management is involved, for management duties under a management contract (e.g., with a condominium management association).
5. For related after-sales services, maintenance notices, and information about our and our partners’ services incidental to the above.
6. To keep books and materials as required by Article 49 of the Building Lots and Buildings Transaction Business Act.
7. For price assessments in real-estate sales and rentals; assessment records may be provided to brokerage clients as the “basis of opinion” under Article 34-2(2).
8. To provide information to the third parties listed in Section 3 below.

2. Personal information we hold and its purposes

We hold personal information received — through application forms, contracts, and other legitimate means — from rental applicants and tenants, sale applicants and buyers, property owners, and other rights holders. We use it to fulfill our contracts: for rentals, contract management; for sales, post-contract management and after-sales service. We may also use your address, name, phone number, and email to send direct mail introducing our other properties and partner products or services we believe may be useful to you. You may ask us to stop this use at any time.

3. Provision of personal information to third parties

To fulfill our contracts and provide management and after-sales services, we may provide your name, address, phone number, date of birth, property information, and contract information — by document, mail, phone, internet, email, or advertising media — to the following third parties. We stop such provision upon your request.

1. Counterparties (and prospective counterparties) to contracts you have entrusted to us.
2. Other building lots and buildings transaction businesses.
3. Internet advertising and other advertising providers and organizations.
4. The designated distribution organization (REINS) — registration and contract-information notification are required when an exclusive or exclusive-agency brokerage contract is concluded.
5. Judicial scriveners (司法書士) and land and house surveyors (土地家屋調査士) in connection with registration.
6. Financial institutions in connection with loans and related matters.
7. Management companies where management of the property is required.
8. Where our management applies: parties specified in the management contract’s important-matters explanation, and financial institutions and association officers for management-fee withdrawals.
9. Credit information agencies for tenant credit checks (where necessary).
10. Debt collectors where a tenant has defaulted on rent.
11. Our partners that we believe may be useful to you.

4. Protection measures

We provide regular training to our employees on the protection of personal information and manage your information strictly, implementing the necessary safety-management measures for our databases and systems.

5. Outsourcing of processing

When we outsource all or part of the handling of personal data, we conclude the necessary contracts and carry out appropriate management and supervision of the contractor.

6. Joint use

When jointly using your personal information, we take the separately required measures under the Act on the Protection of Personal Information.
